Litigation Secretary - Seattle

Litigation Secretary

(Seattle, Full-time, Hybrid)

Fisher Phillips, a premier international labor and employment law firm, is seeking a skilled and experienced Litigation Secretary to join our team. In this essential role, you will help ensure the smooth operation of our services, directly supporting our attorneys in delivering exceptional client service and upholding our commitment to excellence.

Key Responsibilities

  • Document Preparation: Prepare and meticulously format and proofread legal documents, including briefs, pleadings, and correspondence, ensuring compliance with court and firm standards.
  • Court Filings: File state and federal court filings with precision, both electronically and traditionally, ensuring all documents are submitted correctly and on time.
  • Client/Matter Management: Prepare and process new client/matter requests and assist attorneys with friendly client support.
  • Document Management: Regularly update and maintain client files electronically within the firm's document management system, ensuring all information is current and accessible.
  • Docketing: Maintain attorney calendars through Compulaw and Outlook (i.e. scheduling appointments, calendaring due dates, etc.).
  • Meeting and Travel Coordination: Arrange meetings and conference calls; may order meals and equipment as requested. Coordinate travel arrangements for assigned attorneys.
  • Timekeeping, Billing, and Expense Reimbursements: enter and review timekeeper entries, applying correct litigation codes as necessary, and prepare expense reimbursement requests in a timely manner.
  • Vendor Management: Review and ensure accuracy of vendor invoices; prepare accurate check requests and timely submit invoices for payment to client or accounting.
  • Overflow and Backup Support: Provide assistance to paralegals, attorneys, and visitors, ensuring smooth operations in the absence of assigned secretaries.

Requirements

  • Minimum of a high school diploma (College degree is preferred.)
  • Minimum of 5 years’ experience as a litigation secretary.
  • Labor & Employment litigation experience preferred.
  • Pacer, ECF, iManage or other comparable document management system, Word, Outlook, PowerPoint, CompuLaw and Excel. (Aderant knowledge is a plus.)
  • Basic PC and word processing skills; ability to use phone system, copier, scanner, fax, and printer.

The hourly pay for this position is $44.10 to $ 50.75. Actual base pay within this range will be determined by several components, including but not limited to, location, relevant experience, seniority, skills, qualifications, and other job-related factors permitted by law.
